  • Overview - External

    The primary role is to provide administrative support to the Group Manager and a team of Field Engineers (between 10-12) to maximize their time with our clients. The Field Engineering Assistant will ensure that the Group Manager’s and the Field Engineers’ administrative tasks are reduced to a minimum and will continuously search for more efficiencies in the team administrative processes.

    Responsibilities - External

    Ensure the Group Manager has the tools needed to manage field engineering activities and to ensure the completion of work in a timely and efficient manner, using Corporate applications and maintaining databases, spreadsheets and reports for regular review.

     

    Act as the main contact for the team in all areas (with other departments and clients).

     

    Prepare and promptly distribute work packages in support of assigned work to Field Engineers (including flood study, sketches, forms, publications, customized servicing).

     

    Track engineering projects for the team.

     

    Verify and approve time and expense reports.

     

    Assist the Field Engineers with preparing for client visits, which includes validating contact details, scheduling visits, and conducting any required follow-ups. Example; the FE is assigned a location where the contact has not been verified, the EA will research and provide this information to the FE and assist in scheduling to free the FE from delays and call backs.

     

    Monitor the Field Engineers workload; consistently monitor assigned work utilizing FM Global systems and FE calendars to keep the GMFE informed of upcoming due dates.

     

    Resolve routine questions or requests for information by clarifying issues, determining source of information needed to resolve questions, selecting and explaining the best solutions.

     

    Decision making is the corner stone of this position.

    Qualifications - External

    High School Diploma required; College Diploma preferred. Project Management Skills (PM certification preferred)

    • Excellent MS Office Skills (Advanced Word, Excel and Power oint; MS Access working knowledge helpful)

    Experience:

    Minimum 5 years in an Office Administration role
